A Hybrid working model

Once offices are fully open we will be moving to a hybrid working model, which will allow our employees to split their time between the office and other locations, something we hope will provide everyone much more flexibility to their working week. The expectation is that working life at Hogarth will involve working from the office for about 50% of the time for most people. We are looking for a detail-oriented and highly organized Operations coordinator to assist with the management of daily business activities and administrative tasks for Hogarth CA. The Operations Coordinator responsibilities include assisting with data entry, tools development, account management, quarterly planning coordination, and liaising with clients.

To be successful as an Operations Coordinator, you should be able to resolve problematic situations efficiently and have excellent communication. An outstanding coordinator should be able to ensure the smooth daily operations of a business.

Key responsibilities:

  • Oversee and assist with the management of daily operational activites
  • Manages user account data entry in project management resourcing tools, including new accounts and change orders
  • Builds detailed operational documentation for training and inner-company reference
  • Provide support for on and off-boarding of new resources
  • Communicates with internal and external stakeholders regarding tools access and account management
  • Collaborates with internal and client team members to ensure tools are updated quickly and accurately
  • Coordinates with Human Resources and Finance teams for proper resource account allocation and assignements
  • Provides weekly status reports on current team resourcing allocation using internal tools
  • Guides internal leadership to update and deliver project resourcing assignments on-time
  • Actively participates in quarterly planning coordination and scheduling
  • Continually looks for tool expansions for enriched reporting
  • Own Operations team playbook

Requirements:

  • Minimum 2 years’ experience in an operations team or office administrative role
  • Bachelors degree preferred, in management or similar
  • Excellent organizational and communication skills
  • Experience in excellent office management
  • Proven success in critical thinking and communication
  • Ability to work in a face-pace tech industry
  • Proficiency in Apple applications and Microsoft Office
  • Ability to prioritize and multitask
  • Ability to learn on-the-job and provide creative solutions
