Administrative officer
1. Cleanliness in Office :
a. Ensure all departments, pantry, toilets and all other areas in office are maintained spotlessly clean.
b. Check and sign the log book to be maintained by Housekeeping staff ( HKS) and checkup the entire office at least twice daily to ensure that housing keeping is as per the standard and procedure laid down.
c. Pantry is maintained spotlessly clean. Ensure all Staff Members follow the instructions laid down to use the gadgets like Microwave oven etc. and also in the wash basin area to avoid any blockages in drainage etc.
d. Toilets: Ensure HKS maintain spotless cleanliness and all toilets flooring are dry and usable. Ensure nothing is thrown into the toilet commode and in the wash basin to avoid any blockage in the drain.
e. Any act of indiscipline by any one is brought to the notice of Management so that appropriate action can be initiated to ensure compliance of Rules by all.
f. Arrange for purchase of necessary housekeeping materials etc.
2. Maintenance of all Equipment and Gadgets :
a. Annual Maintenance Contracts (AMC) to be entered into and proper records to be maintained to ensure that all preventive maintenance carried out as per schedule agreed in the AMC.
b. Ensure that all equipment are in perfect working conditions all the time. Any problems are immediately attended to and equipment maintained in perfect working
3. Security Personnel :
a. Ensure all Security Personnel are properly attired in clean uniforms and report for work as per timing agreed.
b. Ensure Security maintain proper log book for visitors and Inward /outward Register for receipt and issue of materials.
c. Ensure that all Jobbers maintain discipline and wait outside until the concerned staff is free to attend to them and take them inside.
d. Ensure that no outsiders or unauthorized people are permitted inside without checking with the persons who they want to meet and /or have prior appointment.
Duties and Responsibilities
4. Jobbing Units :
a. Visit Jobbing units for a head count and tally with Manual and Attendance Records.
b. Prepare weekly report on attendance at all units.
c. Ensuring all jobbing units is maintained spotlessly clean and in proper working order.
5. IT Network :
a. Attend to IT related issues and ensure Network and computer systems are maintained in proper working conditions with proper coordination with
PI Technique.
b. Sitting arrangements for New Joinees.
6. Renovation Work :
a. Co-ordinate and Look after all renovation work in the office or any of the Jobbing Units.
b. Establish proper rates for all regular contractors i.e. Carpenter, Electrician, and Civil Contractors etc., after getting quotation from at least 3 other Contractors.
c. Ensure proper quality work and timely completion of work.
7. Utilities and Expense Control :
a. Make sure that all utilities ie Electric supply, water supply and telephones are in perfect working orders and sort out problems if any relating to these utilities.
b. Ensure that all utilities bills are paid in time.
c. Review on ongoing basis and Make sure the Company has the most competitive and economical plan for cell phones.
d. All wastages and unnecessary costs to be identified and removed after discussion with the Management.
